Codel Bible- putting trust in electronic documents

Show your clients that electronic contracts can be exchanged, retained and referred to safely and securely using Codel Bible, a simple service for securing and authenticating legal documents. It is aimed at transactions that comprise several different documents at completion, and for which a collated record of the signed documents, or ‘Bible’, is produced for each of the contracting parties.

This is how it works

  • All signed completion documents that constitute the transaction are scanned to produce a digital version. If completion has occurred electronically using digital documents, this scanning stage is unnecessary.

  • Using the Codel Bible service, each individual document is given a digital fingerprint called a Codelmark – a unique identifier of the document that will always be the same provided the document has not been changed.

  • The Codelmark is then registered on Codel’s database where it is stored indefinitely.  Codel keeps a record of the Codelmark, consisting of the time and date of registration and the name and software license number of the author.

  • A CD of the Codelmarked bible is then provided to each of the contracting parties as a secure record of the transaction.

  • In the future, when anyone needs to authenticate one or more of the documents contained within the transaction bible, they can submit it on-line to Codel, who will confirm the date and time of registration and the name and software license number of the author.  If it has been altered in any way, or is not registered with Codel, the enquiring party is informed that the document is not registered.

These are the key benefits

  • Contracting parties to a transaction are secure in the knowledge that they have a fixed and permanent electronic record of all the completion documents.

  • The final form of each document can be confirmed as authentic almost instantly at any time after completion, helping to resolve potential disputes by proving the integrity and chain of custody of legal evidence.

  • The Codel Bible service is not tied to any particular software and provides independent proof of the version of any document.

  • Codel can allow supporting paper documentation to be dispensed with, thus saving print and storage costs as well as benefiting the environment.

  • Coupled to satisfactory techniques to prove the despatch and receipt of electronic documents, Codel can be used as an alternative to traditional physical postal services.
